Keep a Waitlist and Call Families When a Room Opens

Updated October 25, 2026

The waitlist holds the families waiting for a room at your community, in the order you will call them. Add a family from their lead page, then open Waitlist from the menu to see the list and which families fit each opening you have listed.

Add a family

Open the family's lead and find the Waitlist panel. Pick the level of care they need and the room they want, or "Any room", and tap "Add to waitlist". The panel then shows their place on the list. A lead that is closed cannot join, and the list has a limit, so remove someone if it is full.

Keep the order

The Waiting list shows every family in order with their care level, the room they want and the day they were added. Use Up and Down to move a family. To take one off, tap Remove and then Remove again to confirm, or tap "Take off the waitlist" on their lead page.

A room opened. Who do I call?

Each opening you have listed shows under Openings with the families on the waitlist who fit it: the same level of care, and the room type the family wants or any room. Choose how many to reach out to next and tap "Create call tasks". Each one becomes a call on your task list, and a family already asked about that opening is skipped.

Nothing goes out to families from here. A call task is a reminder for someone on your team to pick up the phone.

Who can do what?

Anyone who can see a lead can add it to the waitlist or take it off, and staff see only the leads assigned to them. Moving families and creating call tasks are for an organization admin or an admin at that location.

The waitlist is part of a paid plan. On the free plan you can see the page, but it stays greyed out.
