Edit a Sequence's Steps, Timing and What Stops It

Updated October 25, 2026

Each sequence has its own page. Open Automations, tap a sequence's name, and you see when it starts, a card for each step with its words, and the rules it follows. Tap Change beside the rules to open the full editor, or Edit wording on a step to change only what that step says.

Change the steps and their timing

In the editor, each step under Messages has the message it sends, how it goes under "Send by", and its timing: "Timed from" when the sequence starts or from the previous message, and how long after. "+ Add a message" adds a step, Remove takes one out, and "+ Add a fallback" gives a step another way to reach the family if the first cannot. Tap Save sequence when you are done.

Change only the words

Edit wording opens the step's words on its card. Where other sequences send the same message, the card says so before you save. A community keeps the change to this sequence alone unless it ticks the box to update the others too; an agency's change reaches every sequence that uses that message.

What stops it for a family?

Under "When it stops", tick what ends the sequence early, such as the lead being closed or declined, or someone pausing that lead. "Stop when the family replies" is its own box: leave it off for reminders tied to a date. Opting out, quiet hours and the daily limit always apply, whether or not they are ticked.

A message that would go out early in the morning or late at night in the family's own time zone waits until morning, and families never get more than a few automated messages a day.

Pause or delete it

On the Sequences list, each sequence has an On or Paused button. Tap it to pause the sequence or switch it back on; the Enabled box in the editor does the same. Delete asks you to confirm with Yes or No.

See it with a real family

On a sequence for leads, "See it with a real family" lets you search your families by name and pick one. You see the dated plan for that family, each message in their words, and where a step would be skipped or the sequence would stop. It is a preview only: nothing is sent, queued or saved.

Who can change a sequence?

In a community, a facility admin can change any sequence and a location admin can change their own location's. Everyone else sees "Only a facility admin can change sequences." In an agency, only the agency's admin can open Automations. Automations come with a paid plan; on the free plan the page stays greyed out.
