Find, Open and Work a Lead on Your Leads List

Updated October 25, 2026

Leads is the list of families who reached out to your organization, shared their contact with you on Latter Years, or were added by your team. Open Leads from the menu and tap a family to open their page, where you reply, assign the lead, keep notes and tags, and close it once it ends.

Read the list

A community's list shows each lead's care recipient, family contact, status and assignee. Use the Status, Assignee, Lead outcome and Sort by menus, then tap Apply; Clear puts the filters back. Lead outcome starts on Open leads, so pick Closed leads or All leads to see the rest. Below the list, Matched shows families who matched with you but have not shared their details yet, and they stay anonymous until they do.

An agency's list shows each family, who the care is for, the listing they found, and the family's phone and email once your listing is active. A closed lead carries a Closed label, and Older and Newest move between pages.

Who can assign a lead?

Only an admin assigns. On the lead's page, the Assignment card lists your team: pick a teammate, or Unassigned, and tap Save assignment. On an agency, assigning a family is what lets a teammate who is not an admin see it, and their page says "Assigned to you".

Mark progress

On a community's lead, the Status card has Mark contacted for a new lead, and sending the family a message marks it contacted too. An agency's lead page holds the conversation with the family, so you reply right there.

Close a lead or reopen it

A community uses the Lead outcome card: pick a reason, add an optional note that only your team sees, and tap Close lead. An agency taps "Close this lead", picks a reason and taps Close lead; closing stops automated messages to that family, they are not told, and you can still write to them. If the reason is a hospital stay, you can set a check-in reminder, and nothing restarts on its own.

Tap Reopen lead when the family is ready again. A lead whose family decided not to move forward stays closed.

Keep notes and tags

The Notes card keeps internal notes: type in "Add a note for your team" and tap Add note. A community also has a "Shared with family" tab for a note the family can read on their Latter Years home; write what they told you, in their words, and tap Share with family. Tags sit in their own card, and the tags article explains the saved list.
