Set Up Care Plan Reviews That Families Book

Appointments holds the care plan reviews families book with you. You set the times you offer, invite a family from their resident's page, and confirm the time they pick here. The page shows one location at a time.

Set the times you offer

Under "Times you offer", tick the days you can meet families, set the hours on each and the Length of each meeting, then tap Save times. Families pick from these starting a day ahead and up to a few weeks out, and the holidays and closures under Settings, Messaging, Hours are left out for you. Until you set times, no family can be invited.

Invite a family

On the resident's page, under Care plan review, choose a family contact and tap "Invite to pick a time". They get a link to pick from your times. If they need it again, tap "Send the link again".

Confirm or change it

A time a family picked waits under "Waiting for you to confirm". Tap Confirm, or "Ask for another time" to have them pick again. Confirmed meetings move to "Coming up", and invitations nobody has answered sit under "Invited, no time picked yet". Cancel asks you to tap "Yes, cancel it", and the family is told it was canceled.

Did it happen?

Once a confirmed meeting's time has passed, it moves to "Did these happen?". Tap "It happened" or "It did not happen"; the family is not sent anything either way.

How often reviews are due

Under "How often reviews are due", set the days between reviews and tap Save. Each resident's next review counts from their last one, or from their move-in date. A few days ahead, whoever the resident is assigned to gets a task, and the family is invited to pick a time if that automation is on. Your licence sets the longest a review may wait, so you can review more often but not less.

Who can change the settings?

Only an admin of the location can change the times you offer and how often reviews are due. Team members see the appointments of the residents assigned to them. Appointments come with a paid plan; on the free plan the page stays greyed out.
